Membership Manager

The Membership Manager plays a vital role within HACIA, responsible for driving membership growth, engagement, and retention. The Membership Manager will work closely with the Director of Strategic Partnerships and Membership Engagement, Executive Director and other team members to develop and implement strategies for recruiting, retaining, and engaging members.

Founded in 1979 as a non-profit 501 (c) (6) organization, the Hispanic American Construction Industry Association (HACIA) is a construction advocacy, training, and membership organization. With over 300 members, HACIA provides a range of technical and supportive services to assist minority, women, veteran, and disadvantaged business enterprises (M/W/V/DBE) in addition to workforce development training in the construction and professional services industries. Postion Summary

The Membership Manager plays a vital role within HACIA, responsible for driving membership growth, engagement, and retention. The Membership Manager will work closely with the Director of Strategic Partnerships and Membership Engagement, Executive Director and other team members to develop and implement strategies for recruiting, retaining, and engaging members. This role requires a passion for our mission, strong interpersonal, communication, and data-driven decision-making skills. The ideal candidate combines nonprofit experience with deep connections and a robust network within the construction and/or small business industry.

Essential Duties and Responsibilities

This position will require you to be able to complete the following essential duties, though this is not an exhaustive list and HACIA may amend this job description at any time and at its discretion:

Membership Growth:

  • Develop and execute strategies to attract and recruit new members, including contractors, professional services firms, and organizations that service the construction industry such as banks.
  • Analyze market trends and conduct research to identify potential target audiences and opportunities for growth within the construction ecosystem.
  • In collab with the Business Development and Membership Manager, track member project interests, certification, and opportunities for continued business development.

Member Engagement:

  • Cultivate and maintain strong relationships with current and prospective members to ensure their active participation and support.
  • Plan and coordinate member-focused events, meetings, committees, and initiatives to enhance engagement and strengthen the sense of community within our membership.
  • Connect members to subject matter experts for additional support including technical assistance, and business capacity opportunities.
  • Lead, manage, and conduct in-depth analysis of HACIA’s annual membership survey to inform programming and service improvements.

Retention and Renewal:

  • Develop a Member Journey Map: Outline member touchpoints from onboarding to renewal and improve member onboarding and lifecycle plan, including check-ins, annual surveys, renewal, and recognition.
  • Identify Membership Gaps: Create plan for membership re-engagement informed by gaps in the Member Journey Map.
  • Develop and implement strategies to retain existing members and increase member retention rates.
  • Manage the full membership lifecycle, including application review, renewals, and cancellation process, ensuring timely and personalized communication with members.
  • Re-Engage Long-Term Members: Develop programming initiatives to reactive participation of legacy members.

Membership Marketing & Communications:

  • In collaboration with the marketing team, create and distribute marketing materials, promotional campaigns, and communications to promote membership and events.
  • Support storytelling by collecting success stories, testimonials, and member impact highlights
  • Collaborate with Membership Specialist to maintain the organization’s membership database and ensure accurate and up-to-date member records.

Collaboration, Training, and Outreach:

  • Co-Lead Procurement-Readiness Training: Partner with Programs team and procurement experts, agencies and large firms to offer joint venture/mentor-protege prep workshops.
  • Play key role in delivering business capacity development programming e.g. Minority-owned Business Enterprise (MBE) certification workshops.
  • Collaborate across departments to align membership efforts and programs with our overall mission and goals.
  • Represent the organization at community events, conferences, and networking opportunities to promote membership benefits.

Reporting and Evaluation:

  • Assist with budget preparation and expense tracking for membership and events.
  • Prepare activity and progress reports for submission as required by funding agencies.
  • Track, analyze, and report on key performance metrics related to membership growth, engagement, and retention.
  • Track and monitor membership technical assistance metrics, deliverables, and results.
  • Use data-driven insights to make recommendations for continuous improvement.

Education/Experience:

  • Bachelor’s degree in business management, marketing, or related field.
  • Minimum of three to five years in direct membership development, business capacity building, or related experience within a nonprofit organization or equivalent combination of education and experience.
  • Minimum of two years of experience in procurement processes and providing technical assistance.
  • Strong understanding of nonprofit organizations and their membership dynamics.
  • Excellent communication, interpersonal, and relationship-building skills.
  • Effectively present information and respond to questions from managers, customers and the public.
  • Proficiency in database management and membership software (e.g., CRM systems).
  • Mathematical Ability: Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, etc.
  • Highly organized and detail-oriented with the ability to manage multiple tasks and projects.
  • Primarily will work in an office setting and may require travel throughout the city and greater Chicagoland area. The work environment is generally quiet to moderate.

Language Ability:

Read, analyze and interpret business, professional, technical or governmental documents. Write reports and business correspondence. Effectively present information and respond to questions from managers, customers and the public.

Computer Skills:

Proficient in MS Office, particularly (Outlook, Word, Excel, PowerPoint, and Teams). Salesforce is a plus but not required.

Work Environment:

Work EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is generally a normal office environment, but there may be occasions that require travel throughout the city and greater Chicagoland area. Employees are expected to work during the Company’s core business hours between 9:00am – 5:00pm. Employees will be given work schedules depending on department and project. The position will require occasional evening work to member events or activities.

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time. Will be required to use hands to finger, handle or feel as well as reach with hands or arms most of the time. Prolonged periods of moving around event spaces/meeting locations during various events and meetings to prepare, organize, set up event spaces, and to network/build relationships with HACIA members as well as potential partners.
