Postion Summary

We are seeking a motivated Membership and Events Coordinator to join our team. This role assists with membership recruitment, retention, and engagement initiatives and plans, coordinates, and executes events designed to enhance the member experience. This role requires strong organizational, communication, and interpersonal skills to effectively engage with current and prospective members and ensure successful planning and execution of events.

Membership Growth & Engagement

  • Support the development and execution of membership recruitment and retention strategies to meet organizational growth targets
  • Manage and maintain the membership database (CRM), ensuring data accuracy, segmentation, and timely updates.
  • Support onboarding processes to ensure new members are effectively integrated and informed of available resources and opportunities.
  • Collaborate with the Membership Manager to design and implement engagement strategies that increase participation and satisfaction.
  • Track, analyze, and report on key membership metrics, including growth, retention, and engagement trends.
  • Build and maintain strong relationships with members to foster community, trust, and long-term retention.
  • Facilitate member-to-member connections, including networking opportunities, mentorship, and peer engagement.
  • Respond to member and prospective member inquiries via phone, email, and in-person in a timely and professional manner.
  • Process membership applications, renewals, cancellations, and reinstatements according to HACIA’s membership policy.
  • Prepare and distribute membership materials, including welcome packets, renewal notices, and member communications.
  • Identify opportunities to enhance the member value proposition and improve the overall member experience.
  • Monitor engagement levels and proactively re-engage inactive members.

Event Coordination

  • Assist in planning and executing events (e.g., conferences, workshops, trainings, networking events) in collaboration with the Membership and Events team.
  • Coordinate logistics including venue management, catering, audiovisual requirements, registration systems, and vendor relations.
  • Partner with internal teams to support event marketing, outreach, and attendance goals.
  • Manage event registration, attendee communications, and post-event follow-up.
  • Provide on-site event coordination, including setup, registration management, troubleshooting, and teardown.
  • Track event performance metrics (attendance, satisfaction, ROI) and provide recommendations for improvement.
  • Conduct surveys and gather feedback to assess member needs; analyze insights and recommend improvements.

Marketing & Communications

  • Add new members to distribution lists.
  • Assist in drafting and editing CRM marketing campaigns or email communications.
  • Support digital engagement efforts, including website updates, social media coordination, and email marketing platforms.

Qualifications and Skills

  • Bachelor’s degree from four-year college or university; or two years of related experience and/or training; or equivalent combination of education and experience.
  • At least two years of experience in membership development or related roles within a nonprofit organization; or equivalent combination of education and experience. 
  • Ability to cultivate and maintain professional relationships with members, participants, colleagues, and other organizations.
  • Self-directed, organized, and innovative with a well-developed sense of customer service and professionalism. 
  • Sensitivity and ability to work with socially and ethnically diverse communities. 
  • Highly developed analytical, problem solving, and decision-making skills.
  • Compassionate, with the ability to exercise sound judgment, discretion, and tact.
  • Excellent independent time management skills and the ability to handle multiple concurrent tasks within deadlines.
  • Ability to travel to various networking, outreach and event locations.
  • Must be able to work independently (as well as on a team) and prioritize in a multi-tasked fast-paced environment

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is generally a normal office environment but there may be occasions that require travel throughout the city and greater Chicagoland area. Employees are expected to work during the Company’s core business hours between 9:00am – 5:00pm. Employees will be given work schedules depending on department and project. The position will require occasional evening work to member events or activities.

Primarily will work in an office setting and may require travel throughout the city and greater Chicagoland area. The work environment is generally quiet to moderate.
