Grant Manager

Reporting to the Senior Director of Innovation and Impact, the Grant Manager is responsible for managing duties pertaining to HACIA’s 501 (C)3 and 501 (C)6 grants funded portfolio such as monitoring and reporting on grant budgets, maintaining grant records, and ensuring compliance with organizational, state and Federal rules and regulations.

Postion Summary

Reporting to the Senior Director of Innovation and Impact, the Grant Manager is responsible for managing duties pertaining to HACIA’s 501 (C)3 and 501 (C)6 grants funded portfolio such as monitoring and reporting on grant budgets, maintaining grant records, and ensuring compliance with organizational, state and Federal rules and regulations. This individual plays a critical role in implementing a new grants management system, grant research, preparing, submitting and managing grant proposals and reports that support HACIA and HACIA SEF goals. A successful Grant Manager must have experience organizing, delivering, and monitoring grant budgets (especially State of Illinois grants), acute attention to detail and ability to utilize Excel in an intermediate to advance manner. This Grant Manager position requires strong writing, data analysis, program budgeting, cost projections, time and project management skills; this individual works well alone and in a team environment, will exercise discretion, can prioritize multiple grant projects, and will ensure grant financial and programmatic accuracy. Experience with GATA, CFR, and state grant management required.

Essential Duties and Responsibilities

This position will require you to be able to complete the following essential duties, though this is not an exhaustive list and HACIA may amend this job description at any time and at its discretion:

  • With oversight from the Senior Director of Innovation and Impact, manages grants portfolio and ensures grant requirements are met, and budgets are spent appropriately and timely. 
  • In collaboration with the Programs Team, supports the identification of grant opportunities, proposal preparation, proposal budgeting, and proposal submission.  
  • In concert with Accounting Team, monitors and tracks receivables and payables for multiple grants, ensuring accurate reconciliation with organization’s overall operating budget. 
  • Prepares and submits required progress reports to funders, demonstrating the organization’s impact and proper utilization of funds, and reporting accuracy. 
  • Creates budget trackers and cost projections to ensure timely and efficient grant spent down.  
  • Works across departments and with Sr. Director of Innovation and Impact to ensure grant compliance and report submissions are timely and accurate. 
  • Manages the financial aspects of the grant lifecycle, from proposal development to grant closeout.  
  • Project manages the implementation of a new grants management system. 
  • Manages reporting and budget calendar to ensure staff has ample time to give requested metrics, both financial and programmatic. 
  • Stays informed about regulatory requirements related to grant applications and reporting. 
  • Collaborates with Accounting Team and Senior Leadership to improve grant accounting processes and to ensure compliance with all relevant laws and regulations. 
  • In collaboration with Senior Director of Innovation and Impact, leads staff allocation and grant-related time and attendance management; provides guidance to staff on reporting staff hours per grant.  
  • Keeps Executive Director and Senior Director of Innovation and Impact abreast of grant expenditures, grant programmatic budget timelines. 
  • Monitors budget spending and develops recommendations for programmatic or cost strategies to avoid deficits, and/or discrepancies. 
  • Develops and manages internal processes for Program Managers to ensure programmatic costs and reporting requirements are met. 
  • Participates in meetings, conferences, and events relevant to grant opportunities aligned with organization’s mission. 
  • Stays updated on relevant grant opportunities, deadlines, and requirements through the creation and management of a grant calendar. 
  • Provides oversight of proper accounting treatment of expenses, cost allocation, and distinguishing allowable and unallowable costs based on organization’s policies and procedures in accordance with grant requirements, including GATA and CFR.   
  • Collaborate with Senior Director of Innovation and Impact to create, disseminate, and implement grant budget-related policies and procedures that will ensure the consistency and integrity of the budgets. 
  • Develops a thorough understanding of awarding agencies guidelines and regulations.  
  • Cultivate and maintain relationships with funders and grant-making organizations and work with funding agencies to resolve problems and/or obtain payment and reporting approvals. 
  • Develop, create, and seek out new and better ways to meet and exceed high performance of grants administration functions 
  • Manage the workflow and effectiveness of the grants administration process

Qualifications:

Education/Experience: 

  • Bachelor’s degree from four-year college or university and four to seven years of direct work experience managing grants and submitting grant-funded pre-awards; Preference will be given to individuals with nonprofit organization grant management experience.
  • Experience with managing State of Illinois grants, GATA and CFR rules is required.

Computer Skills: 

  • Intermediate or Advance experience with Excel is required. Proficient in Microsoft Office Suite, with aptitude to learn new software and systems, such as QuickBooks Online and Salesforce. 

Compliance 

  • Familiarity and experience working with private, federal, state and local government funders; familiarity with State of Illinois GATA rules Code of Federal Regulations and requirements a plus.

Language Ability: 

  • Read, analyze, and interpret grant agreements, financial reports, and legal documents. Respond to inquiries or complaints from funding agencies or members of the business community.

Accounting and Reporting Ability:

  • Uses financial and other quantitative information to support grant management. Reconciles operating and grant expenditure during grant budget period and identifies variances that require immediate action.

Reasoning Ability: 

  • Define problems, collect data, establish facts, and draw valid conclusions.

Communications 

  • Analytical and persuasive writing skills experience and superior editing skills, including ability to clearly convey complex information to a diverse audience.

Work Environment:

Work EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is generally a normal office environment, but there may be occasions that require travel throughout the city and greater Chicagoland area. Employees are expected to work during the Company’s core business hours between 9:00am – 5:00pm. Employees will be given work schedules depending on department and project. The position will require occasional evening work to member events or activities.

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time. Will be required to use hands to finger, handle or feel as well as reach with hands or arms most of the time. Prolonged periods of moving around event spaces/meeting locations during various events and meetings to prepare, organize, set up event spaces, and to network/build relationships with HACIA members as well as potential partners.
