As we continue to grow, we are seeking a highly organized and proactive Project Manager Assistant to support our operations team and help ensure our projects run smoothly and efficiently.
Position Summary
This role supports our Project Managers and field crews to keep jobs moving, compliant, and organized. You will handle permits, diggers (JULIE), scheduling, and communication with vendors and city departments. This is a hands-on role where your work directly impacts whether crews can start work, stay on schedule, and get paid. If you like staying organized, solving problems, and being part of construction projects from the office side, this role is a strong fit.
Typical Day:
- Submit or extend diggers (JULIE) so crews can start work
- Apply for permits or follow up with the City on approvals
- Update schedules and notify crews of any changes
- Take calls from field crews and help solve issues
- Organize job folders (permits, tickets, photos, quantities)
- Follow up with vendors, inspectors, or city offices
- Enter and update job information in Excel or company systems
Key Responsibilities:
- Support Project Managers with daily coordination of construction jobs
- Manage permits and diggers (JULIE), including applications and extensions
- Track compliance requirements and ensure jobs are ready to start
- Maintain organized and accurate project documentation
- Coordinate with subcontractors, vendors, and city departments
- Assist with scheduling and general office support
Work Environment:
Qualifications:
- 1–3+ years of experience in an administrative, coordinator, or assistant role (construction experience is a plus)
- Strong organization skills and ability to keep track of multiple jobs at once
- Comfortable communicating with field crews, vendors, and city offices
- Basic to intermediate skills in Microsoft Excel, Word, and Outlook
- Able to prioritize tasks, follow up, and not let things fall through the cracks
- Detail-oriented with the ability to manage multiple responsibilities in a fast-paced environment
- Willing to learn permits, diggers (JULIE), and construction processes
- Bilingual (English/Spanish) is a plus, but not required
