Postion Summary

The Membership and Events Specialist plays a key role in strengthening HACIA’s community through membership recruitment, retention, and engagement, while also planning and delivering events that foster valuable networking opportunities for HACIA members. Success in this role requires excellent organizational, communication, and interpersonal skills to effectively connect with current and prospective members, plan impactful events and coordinate technical assistance. A key focus of this position is educating businesses—particularly small, minority- and women-owned firms—in public and private contracting opportunities helping members navigate public contracting opportunities and certification processes. The specialist will play a vital role in outreach, technical assistance coordination, and relationship management.

Essential Duties and Responsibilities

Membership Management 

  • Support the development and implementation of strategies to recruit, retain, and grow HACIA’s membership base.   
  • Manage and maintain accurate and up-to-date records in membership database (Salesforce).  
  • Respond to membership inquiries via phone, email, and in-person.  
  • Process membership applications, renewals, and cancellations.  
  • Prepare and distribute membership materials, including welcome packets, renewal notices, and newsletters.

Member Engagement 

  • In collaboration with the Membership Manager plan and execute member engagement activities and programs.  
  • Collect and analyze member surveys to inform events, services and program offering.  
  • Develop and maintain relationships with members to foster a sense of community and belonging.  
  • Support with organizing networking opportunities and facilitate member-to-member connections.  
  • Track membership engagement in Salesforce. 
  • Keep members informed of upcoming events and training opportunities that will help scale their business. 

Public and Private Contracting Support 

  • Collaborate with internal teams and external consultants to identify and address member training needs (e.g., navigating e-procurement portals, proposal development, subcontracting strategies). 
  • Research and track private and public procurement opportunities  
  • Stay informed on policy changes that affect the industry and diverse businesses at all levels of government 
  • Assist with maintaining partnerships with public agencies and procurement officials to identify member-facing opportunities. 
  • Coordinate members’ access to bid opening and contractor events, agency expos, and agency-led training sessions. 
  • Develop and promote programming that helps members pursue government contracts, including workshops, matchmaking events, and bid preparation support. 
  • Assist members in understanding and navigating certification requirements (MBE/WBE/DBE/BEP/SBE) and connect them to certification assistance and resources. 

Event Coordination 

  • Collaborate and assist Events Manager with planning and execute various events, including conferences, seminars, workshops, and social gatherings with the Membership and Event’s Team.  
  • Coordinate with vendors, speakers, sponsors, and/or community partners for various events.  
  • Handle on-site event coordination, including registration, setup, and teardown.  
  • Assist with post event surveys/evaluations. 

Marketing and Communications 

  • In collaboration with the marketing team, create and distribute marketing materials, promotional campaigns, and communications to promote membership and events.  
  • Support storytelling by collecting success stories and member impact highlights.  

Administrative Support 

  • Maintain organized documentation related to member activity, program participation, and engagement outcomes. 
  • Support membership reporting with accurate reporting and collecting success/impact stories. 
  • Assist with budget preparation and expense tracking for membership and events.  
  • Collect and update related data as needed.

Qualifications:

Education/Experience: 

  • Bachelor’s degree from four-year college or university; or two to four years related experience and/or training; or equivalent combination of education and experience. 
  • At least three years of experience in membership development or related roles within a nonprofit organization; or equivalent combination of education and experience.  
  • Minimum of two years of experience in procurement processes and providing technical assistance. 

Language Ability: Read, analyze and interpret business, professional, technical or governmental documents. Write reports and business correspondence. Effectively present information and respond to questions from managers, customers and the public.  

Computer Skills: Proficient in MS Office, particularly (Outlook, Word, Excel, PowerPoint, and Teams).  Salesforce is a plus but not required.   

Other Required Qualifications include the following:  

  • Outstanding oral and written communication skills. 
  • General understanding of the construction industry is a plus. 
  • Experience working with minority-owned contractors is preferred.  
  • Exceptional attention to detail.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Physical Demands:
