About HACIA:
Founded in 1979 as a non-profit 501 (c) (6) organization, the Hispanic American Construction Industry Association (HACIA) is a construction advocacy, training, and membership organization. With over 300 members, HACIA provides a range of technical and supportive services to assist minority, women, veteran, and disadvantaged business enterprises (M/W/V/DBE) in addition to workforce development training in the construction and professional services industries. Responsibilities
To perform this job successfully, an individual must be able to perform the following satisfactorily: this individual should have keen attention to detail and excellent data entry skills. They should also be able to interact professionally with internal and external customers daily. This individual assists in managing the organization's financials and ensures all bills are paid in an efficient and timely manner. The Accounting Specialist provides administrative and clerical support by processing, verifying, and reconciling invoices, monitoring expenses, and keeping a record of it all for tax purposes.
- Sorts and codes invoices correctly and enter details into QuickBooks Online.
- Facilitates payment of employees, which may include preparing and issuing paychecks, running payroll reports, employee reimbursements, and similar responsibilities.
- Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
- Collecting and maintaining W-9, 1099 and other documentation for vendors.
- Ensures outstanding obligations are credited upon payment, and issues purchase order amendments or stop-payment orders as needed.
- Posts financial transactions and keeps accounts payable and receivable current.
- Collects proof of payment and uploads documents to QuickBooks online, linking each document to the correct transaction.
- Collaborates with the Grant Manager to prepare monthly and quarterly financial grant reports.
- In collaboration with the Grant Manager, Accounting Manager, and outside Accountant, as needed, assists with reconciling monthly statements and transactions.
- Collaborates with Accounting Manager, Grant Manager, and accounting consultants to create workflow efficiencies.
- Assists Accounting/HR Manager with processing checks, reconciling accounts and producing statements at the end of each month.
- In collaboration with Accounting/HR Manager, monitors accounts payable and receivable and reports on outstanding problems.
- Ensures timely payments, efficiency, accounting principles and regulatory compliance are followed.
- Works with leadership and Grants Manager on standard operating procedures, to include accounts payable schedule and other accounting processes.
- Assist in preparing, organizing, and participating in HACIA membership events.

Qualifications:

Education/Experience: Bachelor’s degree in accounting or finance and at least three (3) years of related experience; or equivalent combination of education and experience.
Language Ability:Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.
Mathematical Ability:Strong analytical skills. Work with mathematical concepts such as probability and statistical inference. Apply concepts such as fractions, percentages, ratios and proportions to practical situations. Must be able to analyze data accurately and efficiently.
Reasoning Ability:Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer/Software Skills:Proficiency in MS Office, QuickBooks Online, Expensify, Ramp or similar reimbursement platforms.

Primarily will work in an office setting and may require travel throughout the city and greater Chicagoland area. The work environment is generally quiet to moderate.
